Booking-rate and close-rate coaching for HVAC offices

Before you spend more to get more calls, book more of the calls you already pay for. We coach the office and sales side on answering, booking and following up, then measure the change.

The cheapest way to lower cost per booked job is to book more of the calls you already pay for. If one call in three slips away because nobody answers, the reply is slow or the quote is never followed up, every marketing dollar is working at two-thirds strength. This service finds where the leaks are and coaches your team to close them.

Why booking rate is a marketing number

Booking rate is the share of genuine enquiries that become jobs on the schedule. It sits right in the middle of the cost-per-booked-job formula, so small changes move the result a lot.

Here is a quick illustration. A company pays $55 per genuine call and books 58% of them, so each booked job costs about $95. Lift booking to 72% with better answering and quicker callbacks and the cost per booked job drops to about $76, a 20% saving without touching the ad account. Do the same for replacement quotes: if follow-up lifts the close rate from 35% to 42%, the marketing cost per sold system falls by about a sixth.

Who it is for

  • Companies where ads report plenty of calls but the schedule does not reflect it
  • Offices where after-hours and lunch-hour calls go to voicemail
  • Comfort advisors or owners who quote replacements but follow up only once, if at all
  • Growing companies adding a second or third CSR who need a shared way of booking

What is included

Call and enquiry review

  • A sample of recorded calls scored for answer speed, greeting, qualification and whether a booking was offered
  • A check of how quickly web and text enquiries receive a reply, and by whom

Scripts and standards

  • A short booking script written in your company's voice, not a corporate call-centre one
  • Clear rules for after-hours calls, voicemails and missed calls, including text-back where you use it
  • A simple way to log why a call did not book

Quote follow-up

  • A follow-up rhythm for replacement quotes, with what to say at each step
  • A way to see open quotes by age, so none quietly expire

Measurement

  • Monthly booking rate and close rate by channel and by team member, shared privately with you

Timeline

  • Weeks 1–2: call sample, enquiry response check, baseline booking rate
  • Weeks 3–4: scripts, standards and follow-up rhythm agreed and introduced
  • Months 2–3: monthly scoring and coaching sessions
  • Month 3: comparison with the baseline and a decision on what to keep

How results are measured

The baseline comes first. We measure booking rate and quote close rate before changing anything, then track both monthly using cost-per-booked-job tracking. Success is a higher booking rate on the same quality of calls, and a lower cost per booked job as a result. If call quality changes at the same time, we separate the two effects in the report.

Mistakes to avoid

  • Blaming the marketing first. Listen to twenty calls before changing the ads.
  • Counting every call in the booking rate. Wrong numbers, existing customers and sales calls should be removed first, or the rate means nothing.
  • Writing scripts nobody uses. Short, natural scripts survive. Long ones end up in a drawer.
  • Following up once and stopping. Many homeowners decide after a second or third contact, especially on large replacements.
  • Ignoring missed calls. In a heating emergency, the homeowner calls the next company on the list within minutes.
  • Coaching without feedback. A CSR who never hears how their calls scored has no reason to change. Short, regular reviews of a few real calls work better than one long training day.

Coaching is business and marketing coaching only. We are not an HVAC contractor, and we do not give legal advice on call recording or privacy; check your obligations with your provider or adviser. Missed calls are a common leak, and our sister service CallText.chat focuses on missed-call text-back. See the services overview or pricing to compare.

Frequently asked questions

Is this sales training?

Partly. Most of the work is on the office side: answering, qualifying and booking. For replacement quotes we look at follow-up rhythm and how options are presented, but we do not run high-pressure sales programs.

Do you listen to our calls?

With your permission, yes, using recordings from your call tracking system. Your call system should play a recording notice, and we treat every recording as confidential.

How quickly does the booking rate improve?

Simple fixes such as answering after-hours calls or replying to web enquiries within minutes can show up in the first month. Script and follow-up changes usually take two to three months to settle.

What if the problem turns out to be our marketing, not our office?

Then we will tell you. If callers are the wrong fit, such as people outside your area or asking for services you do not offer, the fix is in the campaigns, and we show you the evidence.
