Questions HVAC owners ask before they hire us

Short, direct answers to the questions owners ask most: what it costs, how long it takes, who owns what, and how you will know whether it is working.

The questions above cover what most owners ask first. Below are the topics behind them, in a bit more depth, for anyone who wants the reasoning before picking up the phone.

Frequently asked questions

How much does HVACProfit.ca cost?

Monthly plans are $2,998 (Starter), $4,498 (Growth) and $8,998 (Elite). Websites are $3,500, $6,500 or $12,500 one-time plus monthly hosting. Prices are in Canadian dollars, and Canadian clients add GST or HST at their province's rate (GST and QST in Quebec).

Is there a contract or minimum term?

No lock-in. You begin with the 7-day free trial, card not required, and after that you stay only while the numbers justify it.

How long before we see results?

Tracking and booking-rate fixes can show changes in the first month. Paid campaigns usually settle in two to three months. SEO and maintenance-member growth take longer, often six months or a full renewal cycle.

We tried an agency before and it didn't work. Why would this be different?

We cannot speak for another agency. What we can show is the order we work in: margins first, tracking second, then spend. If the cost per booked job is not moving toward your targets, you will see it in the monthly report and can stop.

Who owns the website, ad accounts and data?

You do. Websites, domains, ad accounts, tracking numbers and analytics are set up in your company's name or transferred to it, and you keep everything if you leave.

What will the monthly report show?

Spend, contacts, booked jobs, booking rate, cost per booked job and gross profit booked, by channel, plus maintenance members gained and lost. Lead counts appear, but they are never the headline.

Do you give accounting or tax advice?

No. We are a marketing and business coaching service. We use margins you or your accountant supply, and bookkeeping and tax questions belong with a CPA.

Are you an HVAC contractor?

No. HVACProfit.ca never installs, repairs or services furnaces, heat pumps or any other equipment. We market and advise the HVAC companies that do that work.

Can you promise more leads or a lower cost per booked job?

No. Honest marketing cannot promise outcomes that depend on weather, competition and your own pricing. We set targets with you and report against them every month.

Do we need to change our field-service software?

Usually not. Most platforms can export jobs with a phone number and date, which is enough to match marketing contacts to bookings.

Is ad spend included in the plan price?

No. Ad spend is paid from your own accounts, separately from the plan fee, so you see every dollar.

Do you work with small companies?

Yes, if the numbers make sense. A two-truck company with healthy margins can benefit as much as a large one, but the plan has to be sized so its cost is recovered in gross profit.

Do you work only in British Columbia?

No. We are based in Vancouver and work with HVAC companies in every province and territory.

Why we talk about profit instead of leads

A lead is a cost until it books. Gross profit is the only marketing result that pays wages and replaces trucks. We still report leads, because they show whether campaigns are reaching people, but every decision is made on cost per booked job and gross profit booked.

That shift changes what "good" looks like. A month with fewer leads can be a better month if more of them booked and more of the booked work was high-margin replacements. Our guide to calculating cost per booked job shows the full formula.

Contracts, trials and leaving

There is no lock-in. The 7-day free trial comes first. It includes an audit of your current marketing, a look at website performance, an SEO review and a competitor benchmark, and we never ask for a card.

If you leave, you take everything with you: the website, the domain, ad accounts with their history, tracking numbers and data exports. Nothing is held back as a bargaining chip. We think that is the only fair arrangement, and it keeps us focused on earning the next month.

Ownership and access

Every account is in your company's name. Where we set something up for you, ownership is transferred to you and we keep user access only for as long as we work together. You can audit our work at any time by logging in yourself.

This matters more than it sounds. Many owners who come to us have lost years of ad history or a website because a previous vendor held the accounts. We will help you recover access where possible, though that depends on the other vendor.

Reporting you can act on

Reports arrive monthly, in plain language, with a short commentary on what changed and what we recommend. You will see:

  • spend by channel, and cost per booked job by channel and job type
  • booking rate and, for replacements, close rate
  • gross profit booked, using the margins you supplied
  • maintenance members gained, renewed and lost

If something is not working, the report says so. You should never need to decode a dashboard to find out whether your money is working.

Small companies, large companies and everything between

Size matters less than margin. A two-truck shop with strong gross margins and a clear service area can recover a Starter plan with a handful of replacements a month. A twenty-truck company with thin margins on new construction may find the same plan harder to justify on that work, and better spent on service and maintenance members.

That is why the first conversation is about your numbers rather than our packages. If the maths says a plan will not pay for itself, we will tell you, and suggest what to fix first, often booking rate or job mix, before you spend more on marketing.

When to expect what

Different parts of the work move at different speeds, and it helps to know which is which before you judge anything:

  • Weeks: tracking, answering and reply-speed fixes
  • Two to three months: paid campaigns rebuilt by job type, and the first fair read on cost per booked job
  • Six months and beyond: SEO service pages, review volume and maintenance-member growth

Judging SEO after six weeks, or ads after six months without changes, are both common mistakes.

What we will not do

We will not promise rankings, lead counts or a particular return. We will not give accounting, tax, legal or compliance advice. And because we are not an HVAC contractor, nobody from HVACProfit.ca will ever show up at a customer's door with tools. Our job is marketing and business coaching, measured honestly.
